Exhibitor FAQ — Key Details for a Successful Midwest Outdoor Show Experience

  1. What are the exhibitor move-in and move-out times?

Move-in typically begins the day before the show opens, with staggered time slots based on booth location. Move-out begins immediately after the show floor closes on the final day. Exact dates, times, and dock access instructions will be sent in your Exhibitor Kit and emailed 4–6 weeks prior to the event.

  2. What is included with my booth, and what can I add on?

Standard booths include pipe and drape, an ID sign, and basic listing on the event website and show map. Tables, chairs, electrical service, carpeting, and additional furnishings can be ordered à la carte through our official show decorator. Ordering details and deadlines are provided in the Exhibitor Kit.

  3. Is electricity and Wi-Fi available for my booth?

Yes, electricity and premium Wi-Fi are available as add-on services. You must order power in advance to guarantee availability at your booth. Complimentary basic Wi-Fi will be available in common areas, but we strongly recommend purchasing dedicated service if you rely on internet for demos or point-of-sale.

  4. How can I capture leads and follow up with attendees after the show?

Each exhibitor receives access to our lead-capture tools, which allow you to scan attendee badges and collect contact information. After the event, you will receive a secure export of your scanned leads so you can follow up with show specials, product information, and appointments.

  5. Are there rules about selling products and displaying merchandise at my booth?

Exhibitors are welcome to sell products on-site, provided all items comply with show policies, venue rules, and local regulations. Firearms, ammunition, and hazardous materials are strictly prohibited. All displays must stay within your contracted booth footprint and may not block aisles or neighboring exhibitors. Full guidelines are outlined in the Exhibitor Agreement and Exhibitor Kit.
